Optimizing invoicing processes with RPA

We automate the invoicing process by detecting the differences between the SAP data that of the reports coming from Client's flight headquarters.

Our Client is a leader in the field of air emergency, with helicopter rescue, fire-fighting, off-shore and support services, as well as in engineering services in the Defense, Energy, Telecommunications and Transport sectors.
Approach
We supported a specifc Division accounting for a fleet of 54 helicopters and 40 operational bases on national and foreign territory, for the improvement of its internal processes, in particular that of active billing. This process, when managed manually, commits a person for 3 weeks per month in repetitive and time consuming activities. The goal was to reduce the timing, relieve the user of low value tasks, reduce the incidence of errors and guarantee the required SLAs.

After analyzing our Client's operational model, Engineering D.HUB identified a solution for active billing, to automate the validation process between the data stored in SAP and that data coming from the reports sent via email by the pilots. Before implementing it, we assessed its appropriateness and expected benefits with a pilot phase of the project. The solution, based on NICE Advanced Process Automation, provides unattended automation to verify flight reports: it acquires the files sent by pilots via email, compare the data them with that stored on SAP, flags the sections that meet the predefined requirements and sends the results highlighting the cases to be re-verified and the exceptions. The solution will be managed in outsourcing at our Data Center in Pont-Saint-Martin, for three years, also by providing infrastructure management services.
