AI Agents for simplified access to corporate legal documentation

ABSTRACT
A solution based on Agentic AI to enhance management, searchability, and accessibility of legal documents across multiple platforms. The project is supported by a Change Management program to facilitate user adoption.

Challenge
The client's legal document management was fragmented and scattered across multiple systems, leading inefficiencies in daily operations, time-consuming manual searches, and increased risks of duplication, errors, and outdated information. The client requested the development of a centralized system for document access, supported by a Change Management and Adoption program to guide employees in embracing new work practices.
Approach

We implemented a solution based on AI Agents capable of supporting:

  • automatic document translation while preserving the original layout,
  • semantic tagging and indexing to facilitate classification and retrieval,
  • natural language search through a Virtual Assistant.

In parallel, we designed a Change Management program that included:

  • awareness and engagement initiatives to highlight the solution’s capabilities,
  • hands-on training focused on meaningful and specific use cases, 
  • adoption support to reinforce and consolidate new best practices.

The solution leverages Agentic AI through two complementary agents. The Search Agent receives and optimizes the user's query to improve accuracy and generates an initial response. The Reranker Agent then refines the results of the initial search by reordering them based on relevance and the user's specific needs. Both agents operate as a unified multi-agent system, accessible through a single, intuitive conversational interface, ensuring a smooth and natural user experience. The Change Management strategy began with the involvement of key Change Agents and was subsequently scaled up to engage the entire user base.
