Challenge
The client needed support tools for planning, managing, and following up on meetings involving a large number of participants, both internal and external to the organization. Previous attempts to integrate existing tools with advanced AI functionalities had not delivered the expected results.
Approach
Thanks to the combination of EngGPT and Agent Studio, Engineering’s no-code platform for creating, orchestrating, and managing AI Agents, we developed a system of 15 agents working together as a single virtual assistant, capable of interacting with users in a natural and proactive way.

The Conductor Agent identifies the user's request (e.g., scheduling a meeting, generating a final summary) and routes it to the most suitable specialized agent for execution. 14 specialized agents, each with specific tasks and operating under shared rules defined by the client, then guide the user through the completion of the requested task. Overall, the solution is capable of:
- creating, modifying, and deleting appointments and meetings,
- adding/removing participants and defining the agenda,
- detecting scheduling conflicts and suggesting resolutions,
- generating intelligent and contextualized agenda summaries.
The entire solution is designed to run fully on-premise, ensuring security, privacy, and compliance with corporate policies.
