Automation of the Procurement Tender Management Process

We developed and implemented an automated system for managing tenders and issuing purchase orders (PO) for spare parts and materials.

Challenge
Our client is a leading international company in the infrastructure construction and civil engineering sector. The company faced the need to effectively manage procurement tenders with suppliers, following the issuance of Purchase Requests via the SAP system generated by construction sites located across various locations.
Approach
The project envolved defining a completeworkflow for tender development, which included the issuing of Purchase Requests (RDAs), establishing criteria for selecting suppliers based on the requested materials, creating a module for filling out quotations, developing methods for comparing offers, setting criteria for identifying the best bidder, and ultimately issuing the Purchase Order.​
Solution
All generated documents are stored on Microsoft Cloud, facilitating access for construction sites located across multiple continents. Notifications via email are scheduled for various stages of the process, alerting the designated personnel about key moments in the workflow. ​ In particular, when a purchase order is issued, an email is sent with an attached comparison document in Excel format, as well as a printed Purchase Order in PDF format.
